Ideal customer profile (ICP)

A short written picture of the customers who buy from you most easily: size, industry and signs of need.

In plain words

An ideal customer profile, or ICP, describes the customers who buy from you fastest and stay longest. It names a few things you can check before the first conversation. These are size, industry, location and signs of need. It does not describe one person. It describes a type of customer.

You do not invent the profile. You read it from your own won deals. Open the CRM, take the customers who paid without long talks and came back, and look for what they share. Write it in five or six lines that every seller can remember.

Worked example (invented numbers)

Owner-run firms with 10 to 50 staff in one city. They have two or more sellers and get inquiries every week.

How to use it

The profile is a filter for time. Qualification asks whether this customer can buy now. The profile asks whether this kind of customer is worth the effort at all. Sellers use it when they decide which inquiry to call first and which deal to let go.

The head of sales looks at it once a quarter. Compare it with the last won and lost deals. If wins keep coming from outside the profile, the profile is out of date. Rewrite it from the new wins, not from hopes.

It feeds several neighboring decisions. Lead routing can send inquiries from profile customers to your strongest sellers. A territory can be drawn around profile customers. Marketing can spend on the channels that bring them. Compare win rate and sales cycle for deals inside and outside the profile. The gap shows whether the filter works.

Common mistakes

  • Describing the customer you wish you had. A profile built from ambition sends sellers after deals they rarely win. Build it from paid deals in your CRM.
  • Making it so wide that everyone fits. A profile that covers every inquiry filters nothing. Keep only the traits that really separate fast buyers from slow ones.
  • Treating it as a ban. A good deal outside the profile is still a good deal. Use the profile to set priority, not to refuse customers.
  • Writing it once and forgetting it. Your offer and your market change. Check the profile against fresh wins every quarter and date each version.

NEXT STEP · TOOL

By Friday, the head of sales pulls the won deals of the last six months. Mark the ones that closed fastest and came back. List what those customers share: size, industry, location and the reason they came. Write the profile in six lines and add a yes or no field called “fits the profile” to the deal card. Example (invented numbers): if 12 of 20 fast wins share two traits, start with those two and test them next quarter.
