CRM hygiene

Keeping every deal in the CRM complete and current, so the numbers built from it can be trusted.

In plain words

CRM hygiene means the CRM shows what is really happening with each deal. The stage is right, the amount and decision date are current, and every open deal has a next step. When hygiene is poor, every report built from the CRM is wrong, even if the formulas are fine.

It is not a cleanup project done once a quarter. It is a small habit after each contact. Update the stage, the next step and anything the customer said that changes the numbers. It takes a few minutes per deal, the same day, while the seller still remembers.

Worked example

For example, a deal whose decision date passed last week gets a new date the customer confirmed. Otherwise it closes as lost.

How to use it

The forecast, conversion and pipeline coverage all come from the same deal cards. If many decision dates are already in the past, the forecast is built on old promises. The head of sales checks hygiene first, then reads those numbers. A forecast you cannot trust leads to the wrong hiring and budget decisions.

Use a short weekly check, not a long audit. Pull three lists: open deals with no next step, deals whose decision date has passed, and stalled deals. Each list goes to its seller before the weekly meeting. The meeting then talks about deals, not about data entry.

Required fields prevent part of the mess at entry. The weekly lists catch the rest. If the same seller tops the lists every week, treat it as a coaching topic for your one-to-one. It is not a reason to add more rules for everyone.

Common mistakes

  • Fixing the data yourself. When the head of sales cleans the CRM, sellers learn that it is someone else's job. Send each list back to the deal owner to fix.
  • Treating hygiene as admin. Sellers skip it because it looks like paperwork. Show them the forecast and the lists built from their cards, so the link to their own deals is visible.
  • Big quarterly cleanups. A cleanup once a quarter means months of wrong numbers in between. A small check every week costs less and keeps the reports usable.
  • Measuring how many fields are filled. A full card can still be false. Check a few deals by asking the seller what the customer last said, then compare it with the card.

NEXT STEP · TOOL

By Friday, the head of sales pulls the three hygiene lists for the whole team. Each seller gets their own lists on Monday and clears them before the weekly meeting. Write down how many deals were on the lists. Repeat the next week and see whether that number falls.
