Ghosting

When a customer stops replying without saying no, and the deal sits open with no answer.

In plain words

Ghosting is when the customer stops answering without a refusal. Calls go unanswered, messages are read and left. The deal is not lost on paper, so it stays in the pipeline. From the customer's side, though, a decision has often been made already. Silence is easier for them than saying no.

Ghosting is a later and sharper form of a stalled deal. In the CRM it shows as a run of outgoing contacts with no reply. It is worth naming separately, because it needs its own rule. How many attempts, over what time, and what happens at the end?

Worked example

For example, after a proposal the customer reads three messages and answers none. The seller sends one last note asking whether to close the deal.

How to use it

Ghosting often starts earlier than the silence. The deal had no decision date, or the person who decides never joined a call. When you review ghosted deals, look one stage back. You will usually find the step that was skipped, and the fix belongs there.

Give the team one closing message for ghosted deals. It is polite and short, and it lets the customer say no. Something like this works: "Should I close this for now?" A clear no is useful. It frees the seller and gives you a real lost reason.

At the weekly review, the head of sales reads ghosted deals together with their lost reasons. If many deals die in silence after Proposal, look at the offer and the price conversation. Then the fix is in how proposals are made, not in more follow-ups.

Common mistakes

  • Keeping ghosted deals in the forecast. They inflate pipeline coverage and hide the gap until the end of the month. Move a deal out of the forecast once the agreed attempts are over.
  • Recording "no reply" as the lost reason. It describes the symptom, not the cause. Add what you think happened, for example price, timing or the wrong contact.
  • Chasing with the same message. Five copies of one question will not get a different answer. Change the channel or the person, or ask an easy yes-or-no question.
  • Blaming the customer. Silence usually means the deal lost priority on their side, not that they are rude. Ask what the seller did not learn: the decision date, who decides, what happens if they do nothing.

NEXT STEP · TOOL

By Friday, the head of sales lists every deal where the last few outgoing contacts got no reply. Each seller sends one closing message on each of those deals. Deals with no answer by the following Friday close as lost, with the seller's best guess at the reason.
