Lead owner
The one person responsible for a lead at any moment: they answer it, move it and close it.
In plain words
The lead owner is the one seller who answers for a lead right now. They reply to the inquiry, set the next step and close the deal as won or lost. One lead, one name. If two people share it, in practice nobody owns it.
In a CRM this is the responsible user field on the lead and the deal. Routing fills it when the inquiry arrives, and a handover changes it later. The field is only useful if it stays true: the person named there is the person who will act next.
Worked example
For example, a website inquiry goes to one seller. They reply, book the call and keep the deal until it closes.
How to use it
The head of sales reads the pipeline by owner at the weekly review. For each seller you see open deals, deals without a next step and inquiries still waiting for a reply. Problems then have an address, and the conversation is about specific deals, not the team in general.
The owner field changes decisions about workload and absence cover. If one seller holds far more open deals than the others, new inquiries go elsewhere until that list is cleaned. If a seller leaves or goes on vacation, their deals get a new owner or a named backup the same day.
Lead owner sits between lead routing, which sets the first owner, and handover, which changes it on purpose. Lead response time is measured per owner, so a missing name hides slow replies. The backup covers the owner when they are away, but the field keeps showing who is accountable.
Common mistakes
- Leaving the owner as whoever created the record. An administrator or a form becomes the owner, and the lead waits. Make routing assign a seller the moment the inquiry lands.
- Changing the owner silently. A deal moves to a colleague without notes, and the customer repeats their story. Change the owner only through a handover with the context written in the deal.
- Keeping a departed seller as the owner. Their deals stop moving but still count in the pipeline. On the last working day, reassign every open deal and check that the list is empty.
- Reporting by the current owner only. A lead passed from a qualifier to a seller then shows no trace of the first person. Keep the owner history and read work done by who held the lead at the time.
NEXT STEP · TOOL
By Friday, the head of sales filters all open leads and deals in the CRM and sorts them by owner. Look for three things: an empty owner, an owner who no longer works here, and a non-seller as owner. Fix each one with a named seller and a next step. Then agree one rule with the team: an owner changes only through a handover note.
CRM rules the team follows and a forecast review you can run every week.
