Management rhythm

Your regular actions with a fixed time and a written outcome.

In plain words

A management rhythm is the short list of things you do at the same time, every time, each with a written result. Instead of reacting to whatever is loudest, you run a schedule the team can predict. For a team of two to ten sellers it fits on one page: a daily check, a weekly meeting, a pipeline review and a regular report to the owner.

A rhythm holds because the result gets written down. Each item has a fixed day and time, a fixed length, the lists it uses and one place where decisions, owners and dates are recorded. The lists come from the CRM: new inquiries without a reply, deals without a next step, deals whose decision date has passed.

Worked example

For example, a 10-minute morning check every day and a deal review on Mondays.

How to use it

Example (invented numbers): in a team of five, the head of sales spends ten minutes each morning on three CRM lists. Monday has a 30-minute meeting, Wednesday a 45-minute pipeline review. On Friday the owner gets one page. Nothing else is fixed.

For sellers, the rhythm means they know when they will be asked about stuck deals, so they come prepared. The owner gets a report without having to chase it. And you catch a problem in the week it starts, while it is still small.

The other terms in this group hang on the rhythm. Tasks are what each meeting produces. The response standard gets checked in the daily check. The report to the owner carries the forecast and the open questions. If a task has no meeting that checks it, the rhythm has a gap.

Common mistakes

  • Too many rituals at once. Four new meetings in the first month is more than a busy team keeps up. Start with one weekly meeting, and add the next only once the first one holds.
  • Meetings with no written result. If nothing is written down, next week starts from zero. End each item with decisions, owners and dates, and open that list first next time.
  • Cancelling when you are busy. The first skipped meeting tells the team the rhythm is optional. If you are away, a seller runs it. If the numbers are missing, meet anyway and say so.
  • Reading statuses instead of deciding. When every seller reads out every deal, the meeting runs long and changes little. Bring only the lists that need a decision.

By Friday, the head of sales writes the rhythm on one page. For each item, note the day and time, the length, the CRM list it uses and where the result gets written. Put every item in the team calendar for the next four weeks. On Monday, run the first meeting in that order and close it with the list of decisions, owners and dates.
